Add a Card on File From the Customer Profile

Save a customer's card to their profile without running a sale. The card is verified with a zero-dollar authorization, so nothing is charged.

You can save a customer's card straight from their profile, with no sale attached. This is handy when a customer gives you a card over the phone, when you are setting up a membership or subscription ahead of time, or whenever you want a card ready for future checkouts.

Vibe verifies the card with a zero-dollar authorization. Nothing is charged, no sale is created, and the customer's bank sees only a verification check.

Before you start

  • Your location uses Dejavoo for card processing.

  • The register you are logged into has a Freedom eCom Token and a Terminal ID saved in its register settings. See Setting Up Your Dejavoo Terminal if these are missing.

  • The customer already has a profile in Vibe. Save a new customer first, then add the card.

  • You have the card number, expiration date, and security code from the customer.

Add a card from the customer profile

  1. From the left menu, click Customers and open the customer's profile.

  2. Scroll to Saved Payment Cards and click Add Card.

  3. Enter the card number, expiration date as MM/YY, and CCV.

  4. Optionally give the card a title, such as "Personal Visa", so it is easy to pick out at checkout. If you leave this blank, Vibe uses the card brand and last four digits.

  5. Click Save.

The card is verified and appears in the Saved Payment Cards list right away. The first card saved for a customer becomes their default.

What happens when you save

  • The card details are sent directly to Dejavoo from the browser. Vibe never stores the card number or security code, only a secure token that Dejavoo issues for future charges.

  • A zero-dollar authorization confirms the card is valid. Nothing is charged and there is nothing to void or refund.

  • The expiration date you enter is kept so Vibe can warn you when the card expires.

Using the saved card

At checkout, choose Credit Card, turn on Use saved card, and pick the card. Saved cards can also be used for customer subscriptions and recurring charges. Cards added from the profile can be renamed, set as default, or deleted the same way as any other saved card.

Troubleshooting

  • The Add Card button is not there. Check the requirements above. The most common cause is a register without a Freedom eCom Token.

  • The card was declined. The message shown comes from the card processor. Confirm the card number, expiration date, and security code with the customer and try again. If every card is declined, contact Vibe support so we can check the zero-dollar authorization setting with Dejavoo for your merchant account.

  • The card shows as expired at checkout. The expiration date was entered incorrectly. Delete the card from the profile and add it again.

Note: Cards saved from the profile are only available for Dejavoo. If your location uses a different processor, save cards during a sale as described in Manual Card Entry and Saving Cards on File.
