When to Use This Feature
A customer appears in the system more than once
Two entries share the same phone number, email, or name
A customer reports missing purchase history or an incorrect balance
You are cleaning up customer records as part of a data audit
How to Access
Navigate to Customers from the main menu
Click the three-dot menu (...) in the top-right area
Select Duplicate Customer Detection
Reviewing Duplicate Groups
The system displays all identified duplicate groups. Each group contains customers that share at least one of the following: full name, email address, or phone number (including variations with or without an area code).
Review each group carefully before merging. Some customers may look similar but actually be different people.
Note: Phone numbers with and without area codes may be flagged as matching. Always verify before merging.
Merging a Duplicate Group
Click Merge Group next to the group you want to resolve
Select the primary customer β this is the record that will be kept
If any customer in the group is not actually a duplicate, click Exclude to remove them from the merge
Choose how to handle the customer balance (see Balance Options below). A helper indicator shows what the resulting balance will be
Review the merge summary at the bottom of the screen
Click Confirm Merge
Note: You can Merge upto 25 groups of customers at the same time
Balance Options
Merge Balances β Combines the balances from all duplicate records into a single total
Use Primary Balance β Keeps only the balance from the primary customer and discards the others
Undoing a Merge
If a merge was done by mistake:
Open the merged customer profile
Click Undo Merge at the top of the profile
The Undo Merge option shows all original profiles that were merged, along with the date and time the merge occurred.
Troubleshooting
Issue | Resolution |
A customer is grouped with the wrong person | Use Exclude to remove them before merging |
The balance after merging is wrong | Use Undo Merge, then re-run with the correct balance option |
Cannot find the Undo Merge button | Search for the primary customer name and open that profile directly |
