Inventory Transfers Between Locations

When managing multiple store locations, you may need to move inventory from one location to another. The Inventory Transfer feature ensures inventory counts stay accurate at all stores.


How to Create a Transfer

To start moving items between locations, create a transfer record in the system. Follow the steps below:

  1. From Dashboard, click Receiving.

  2. Click the red Receive button, then select Transfer.

  3. Select items to transfer.


    Adjust quantity, selling price, or total cost if needed.

  4. Once items are chosen, specify which store is sending and which store is receiving the inventory.


    Select Transfer Locations:

    • Transfer From Location.
      The store currently holding the inventory.

    • Transfer To Location.
      Type the location name to select it, or click + to add a new location (requires a new license).

  5. Edit or detach locations if needed.

  6. Additional details can be included to keep records accurate and clear.


    Optional Fields:

    • Custom Fields.
      Track any extra information as needed.

    • Receiving Date.
      Defaults to submission date, but can be changed.

    • Comments.
      Notes visible to both locations.

Note: Totals will show as negative numbers since inventory is leaving the sending location.


Send or Complete a Transfer

You can choose to send a request first or complete the transfer right away depending on your workflow.

Optional to send or complete:

  • Send Transfer Request.
    Creates a suspended receiving. Inventory is not updated until the transfer is completed.

  • Complete Transfer.
    Updates inventory counts for both locations and removes the request from queues.

Note:

  • After the transfer is finalized, a receiving receipt will auto-generate for your records.

  • Review the receipt to confirm accuracy.

  • Always double-check quantities and locations before completing to prevent errors.


Request Transfer

Use this method when one store requests inventory from another and the items still need to be shipped.


Completing the transfer updates both stores’ inventory and removes the request from the queue:

  • Store A requests inventory from Store B in the system.

  • Store B reviews pending requests, prepares the shipment, and can leave a comment so Store A knows it is on the way.

Note: Once completed, transfers cannot be undone.


Completing Transfers

There are two ways to finalize a completed transfer.

You can either:

  • Complete Transfer.

    • When Store A receives the shipment, mark the request as complete.

    • Completing a transfer updates inventory at both locations and removes the request from the queue. Exercise caution: once completed, the request cannot be undone.

  • Quick Transfer.

    • If you already have the items physically on hand, you can create a transfer and immediately mark it as complete.

    • This updates inventory counts at both locations without creating a pending request.
